1. General

This privacy statement regulates the processing of your personal data when using our websites www.clientcom.be, www.clientcom.pro, www.clientcom.pl, of our application ClientCom and the services we offer. These processing operations are carried out by ClientCom BV as data controller, which determines the purposes and means of processing personal data, located at 2630 Aartselaar, Antwerpsesteenweg 124 / bus 46, with KBO number 0777 532 105.

We are convinced that the protection of the privacy of customers and visitors is essential. We therefore make every effort to ensure this data protection and always act in accordance with data protection legislation when processing personal data. "Data protection legislation" means: i) the General Data Protection Regulation (better known as "GDPR"), ii) the other European regulations containing provisions relating to data protection and privacy, iii) as well as applicable national data protection and privacy legislation in the Member States.

ClientCom will take into account the basic principles regarding the processing of personal data when processing personal data. Personal data will always be processed lawfully, properly and transparently for specified purposes. We will take the necessary steps to never ask for more personal data than necessary or to keep these personal data for longer than necessary. 2. ClientCom BV

ClientCom is developing an application through which customers have the opportunity to use a smart voicemail.

In that context, ClientCom comes into contact with personal data and will process it.

In accordance with the current regulations, we define personal data as any information relating to an identified or identifiable natural person ("the data subject"); identifiable is considered to be any natural person who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more elements characterising the physical, physiological, genetic, psychological, economic, cultural or social identity of that natural person.

We define the processing of personal data as any operation or set of operations involving personal data or a set of personal data, whether or not carried out by automated means, such as the collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, blocking, erasure or destruction of data.

Data is processed on the following legal grounds:

  • A contractual relationship from as soon as you purchase and/or use our services/products.

We collect personal data for the use of the website and for the offer of certain services. In addition, our web server automatically recognises your IP address each time you visit our website.

This personal data allows us to follow up on your request, make continuous improvements to the website and to the services/products offered to you and adapt them to your needs. In this respect, we reserve the right to use your information for market and satisfaction surveys or for the development of services/products, possibly by using subcontractors.

Thanks to this data, we can also forward you commercial information on new services/products, promotions, benefits, etc.

ClientCom may consult, store, transmit, update and modify personal data.

The personal data we collect is used to respond appropriately and accurately to your queries.

This information is recorded in our customer system so that we can offer you an even better service in the future.

In order to fully process your requests for information, we store your personal data for this activity for as long as you are a client of ours. If you are not a ClientCom customer, we will delete this data after your enquiry has been answered or in order to keep in touch with you (e.g. if you showed interest in one of our products).

3.3.2 To keep in touch with you

We believe it is important to have a good relationship and communication with all our customers. Therefore, we will contact you to keep you informed of relevant offers/promotions and of innovation and novelties that you may find interesting.

To process personal data under this activity, ClientCom will use its legitimate interest. If you receive these communications from us, you can indicate at any time that you no longer wish to receive them.

3.3.3 Invoicing and administration

ClientCom collects billing and administrative data to fulfil its administrative obligations, such as charging for the services provided to the client or keeping our legally required accounts.

3.4 For how long will your personal data be processed and stored?

Processing is extended for three months during the term of the agreement, unless ClientCom is required by law to keep the data for longer.

3.5 Do we disclose your personal data to third parties?

ClientCom will refrain from disclosing or passing on your personal data except in the following cases:

  • When working with processors who support us with development, hosting, mailing, surveys and marketing initiatives, among others. They only process your personal data under our written instructions and according to an agreed processor agreement.
  • If required by law.

ClientCom will take the necessary steps to process your personal data where possible within the European Economic Area. If personal data is nevertheless passed on to countries or organisations outside the EEA, an appropriate safeguard will always be provided.

3.6 What rights do you have as a data subject?

ClientCom shall provide you with information about the action taken on the request without delay and in any event within one month of receiving the request.
